Privacy Policy
This policy explains what personal data APEX Fencing Team Limited collects, why, who can see it, and how to ask us about it. It is written to match what our systems actually store.

What we collect
- When you book a trial: the student's name and age, the parent or guardian's name, a phone number, an email address, the weapon you are interested in, and any notes you write.
- If you go on to enrol: date of birth, gender and Chinese name, so classes can be grouped correctly and records kept.
- While you train with us: attendance records, and — if you claim sick leave — the supporting document you upload.
- When you pay: the amount, the date, and what it was for.
- Technical: the IP address a public form was submitted from. We keep this only to stop the forms being abused, and it is not used to identify you.
Card details
- Card payments are handled entirely by our payment provider, KPay. Your full card number and security code are entered on their page and never pass through this website.
- What we receive and keep is a record of the payment: the amount, the payment method, the name and email you gave at the checkout, and a masked card number showing only the first six and last four digits.
Why we hold it
- To contact you and arrange your trial or classes — this is why a phone number matters most.
- To run classes: registers, coach assignment, make-up arrangements.
- To keep proper financial records of fees paid.
- To send you notices about your own classes, payments and arrangements.
- We do not sell your data, and we do not use it for advertising.
Who can see it
- Club administrators, and the coaches teaching the student concerned.
- A parent or guardian sees their own children's records only.
- Our service providers, strictly to run the service: our database host, our payment provider (KPay) and our email provider. They act on our instructions.
- We otherwise disclose data only where the law requires it.
Children's data
- Most of our students are children. Their data is provided by, and belongs to the care of, their parent or guardian, and we deal with the parent or guardian on all matters concerning it.
How long we keep it
- Membership and class records are kept while the student trains with us and for as long as we need them for accounting and record-keeping afterwards.
- An enquiry that never becomes a booking is kept only as long as it is useful to follow up.
Your rights
- Under the Personal Data (Privacy) Ordinance you may ask what personal data we hold about you or your child, ask for a copy, and ask us to correct anything that is wrong.
